**Make sure to enter your guests for Halloween Night. Due to the extremely high volume of vehicle traffic, the front gate WILL NOT CALL YOU to authorize any guests between the hours of 3:00pm. and 10:00pm. You MUST enter your guests names yourself into the gate access system beforehand.
Please be aware that, due to the amount of traffic at the gates on Halloween, the rules have changed for this day. No call-ups will be made, and no call-downs will be accepted by gate officers after 5:00pm on Halloween. After 5:00pm all guests must be entered online at www.dwellingLIVEguest.com by the resident. For parties, residents must either enter the guests’ names online or provide an alphabetized list (including vendors) to the gates or association office no later than 5:00pm the day before Halloween.
Gate Committee Reminders: Please stop at the resident entry gate! At least twice a day residents have been running into the gate arms and breaking them off. Please remember that you must stop at the gate and let the arm come down after each car. If you are trying to follow the car in front of you through the gate without having it come down again, it will hit you…..Seriously.
If a guest arrives during that 7 hour period and they are not in the system, they will not be let in and they will be asked to make a U-turn. The guest can then call you and ask you to enter them into the system, but they will have to go back to the end of the line**
1. The Oaks Security will have extra personnel on hand, along with four security vehicles that will be constantly cruising around. Also, we will have Sheriff’s Deputies in black and white patrol cars cruising the streets. If you need any help, or would like to report an unsafe driver or other hazardous situation, simply flag down one of these vehicles.
2. Traffic Jams: Our security staff is bracing for Halloween. Anytime the number of guest vehicles surpasses a hundred, you can expect significant delays getting in to the community. On Halloween night it will be even worse. This is the result of thousands of people trying to get through our single, one lane entrance. Please, please, tell your guests to arrive very early, preferably sometime in the afternoon. We have scheduled extra security personnel to work Saturday to help speed things along, but we really need your help and cooperation to make this work smoothly.
3. IMPORTANT NOTE: On Halloween night, due the extremely high volume of vehicle traffic, the front gate WILL NOT CALL YOU to authorize any guests between the hours of 3:00p.m. and 10:00p.m. You MUST enter your guests names yourself into the gate access system (www.theoaks-hoa.com) beforehand. If a guest arrives during that 7 hour period and they are not in the system, they will not be let in and they will be asked to make a U-turn. The guest can then call you and ask you to enter them into the system but they will have to go back to the end of the line.
4. Party Rules Reminder: For those of you planning to have parties with 20 or more guests this weekend or on Halloween, please note that per The Oaks Rules and Regulations you are required to enter all your guests’ names into the guest management system and supply a typed, alphabetized list of your guests to the guardhouse at least 72 hours in advance. This means we need your Halloween guest list by Wednesday night. You only need to enter the driver for each vehicle, not all passengers.
